This policy explains how Sure Rope Access collects, uses and protects your personal information when you visit our website or get in touch with us. Sure Rope Access is the trading name of Sure Rope Access Ltd, a company registered in England and Wales under company number 16380643, with its registered office at 35 Lexton Drive, Southport, England, PR9 8QN.

The information we collect
When you contact us through the enquiry form on our website, we collect the information you choose to give us. This includes your name, company name if you provide one, phone number, email address, details of the site you are enquiring about, a description of the problem, and any photographs you upload.
When you contact us by phone or email, we keep a record of your contact details and what we discussed, so we can respond to your enquiry and provide a quote.
If you become a customer, we also keep the information needed to carry out and invoice the work, such as the site address, correspondence about the job, and records of the work completed.
When you visit our website, our hosting provider automatically records limited technical information, such as your IP address, browser type and the pages you visit. This is used to keep the website secure and working properly.
With your consent, we also use analytics cookies to collect information about how you use our website. See the Cookies section below for details.
Photographs you send us
Photographs help us understand the problem before we visit. Please avoid including people, vehicle registration plates or other personal details in your photos where you can. If a photo does include another person, please make sure they are happy for you to share it with us. We use photographs only to assess and carry out the work you have asked about.
How we use your information
We use your information to respond to your enquiry, arrange site visits, prepare quotes, carry out and invoice work, and keep records of the work we have done. We may also contact you about a job in progress or a follow-up visit you have asked for.
We do not use your information for marketing, and we do not sell or rent it to anyone.
Our lawful basis for using your information
UK GDPR requires us to have a lawful basis for each use of your personal information. We rely on the following.
Taking steps before a contract. When you ask us for a quote or site visit, we use your information to respond and prepare that quote.
Performing a contract. When you become a customer, we use your information to carry out the work we have agreed to do.
Legal obligation. We keep certain records, such as invoices and health and safety documentation, because the law requires us to.
Legitimate interests. We keep records of past enquiries and completed work to run our business properly, deal with any questions or warranty issues, and keep our website secure. We only rely on this where it does not override your own rights and interests.
Who we share your information with
We only share your information where it is needed to run our business or where the law requires it. This may include:
- our website hosting provider, Ionos, which stores the website and the enquiries submitted through it
- our email provider, Google, which handles our business email
- Google, which provides the analytics service we use to understand how our website is used
- our accountant, for invoicing and financial records
- our insurers and professional advisers, where needed to deal with a claim or legal matter
- trusted subcontractors, only where they are needed to carry out work you have asked us to do, and only with the information they need for that job
- the police, regulators or other authorities, where we are legally required to do so
Everyone we share information with is required to keep it secure and use it only for the purpose we shared it for.
How long we keep your information
We keep your information only for as long as we need it.
If you make an enquiry that does not lead to work, we keep your details and any photographs for up to two years, in case you get back in touch about the same building, and then delete them.
If we carry out work for you, we keep records of the job, including invoices, correspondence and photographs, for six years after the work is completed. This allows us to meet our legal and tax obligations and deal with any questions about the work.
Health and safety records, such as risk assessments and method statements, are kept for as long as the law requires.
How we keep your information secure
We take appropriate technical and organisational measures to protect your information from loss, misuse and unauthorised access. Our website uses an encrypted connection, access to enquiries and customer records is limited to the people who need it, and our devices and accounts are password protected.
No method of sending information over the internet is completely secure, but we work to protect your information once we receive it.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information, where we no longer have a reason to keep it
- ask us to restrict how we use your information
- object to us using your information on the basis of legitimate interests
- ask us to transfer information you have given us to another organisation, where this applies
To use any of these rights, contact us using the details in the “Who we are” section. We will respond within one month. There is normally no charge.
Cookies
Cookies are small files stored on your device when you visit a website. We use two types.
Strictly necessary cookies are needed for the website to work properly and stay secure. These are always on and cannot be switched off.
Analytics cookies help us understand how visitors use our website, such as which pages are visited most and how people find us. We use Google Analytics for this. It collects information such as the pages you visit, how long you spend on them, the type of device and browser you use, and your approximate location based on your IP address. This information is used in aggregate to help us improve the website, and is not used to identify you personally. Google Analytics sets cookies named _ga and ga[ID], which last for up to two years.

Our website links to other sites, such as our social media pages. We are not responsible for how those sites handle your information, so we recommend reading their privacy policies.

Our services are provided to businesses and adults. We do not knowingly collect information from anyone under 18.
Changes to this policy
We may update this policy from time to time, for example if the law changes or we change how we work. The date at the top of this page shows when it was last updated.
